Core Return Procedure & Policy

Core Return Procedure

Most remanufactured transmissions are sold with a refundable core deposit. To receive your core deposit refund, your old transmission must be returned within 30 days of delivery, complete, drained, properly packaged, and approved after inspection.

30-day return deadline • Refundable core deposit • Pickup instructions provided

Quick Answer: Your old transmission core must be returned within 30 days of delivery to qualify for a core deposit refund. Contact Best Value Transmission when your core is ready for pickup so we can provide the required Return Bill of Lading, also called an RBOL. The core must be drained, fully assembled, returned with the torque converter, and placed back in the original shipping tote or container when applicable.

Important: Core returns received after 30 days of delivery are not eligible for a core deposit refund. Do not ship your core back without contacting us first. You must use the return paperwork and shipping instructions we provide. Using the wrong paperwork, wrong address, wrong carrier, or incorrect shipping details may delay processing or create extra freight charges.

How The Core Return Process Works

A core deposit is charged to help ensure the old transmission is returned after your replacement transmission is installed. Once the old transmission core is returned within the required 30-day deadline and approved after inspection, the eligible core deposit refund is issued back to the original payment method when possible.

1. Install The Transmission

After your replacement transmission is installed, keep the old transmission core, torque converter, brackets, straps, and shipping tote or container.

2. Request Pickup

Contact us immediately when the core is drained, packaged, and ready for pickup. The core must be returned within 30 days of delivery.

3. Get Your Refund

Once the core is received on time and passes inspection, the eligible core deposit refund is issued back to the original payment method when possible.

Step-By-Step Single Core Return Instructions

Step 1: Contact Best Value Transmission Immediately

Contact us as soon as your old transmission core is ready to be picked up. Your core must be returned within 30 days of order delivery to qualify for a core deposit refund.

  • Text: 443-866-7140
  • Call: 227-289-4797
  • Email: bestvaluetransmission@gmail.com
  • Provide your name, order number, pickup address, phone number, and whether a liftgate is required.

Step 2: Prepare The Core For Pickup

Before requesting pickup, the old transmission core should be ready to ship.

  • Drain all excess fluid from the transmission.
  • Place the transmission back into the original shipping tote, crate, or container when applicable.
  • Return the torque converter with the transmission core.
  • Return protective brackets, straps, and shipping parts that came with the replacement unit.
  • Secure the transmission inside the shipping container to prevent movement or damage.
  • Make sure the tote or container is not leaking.

Step 3: Use The Return Bill Of Lading We Provide

We will provide a Return Bill of Lading, also called an RBOL. The RBOL contains the return shipping information and carrier instructions.

  • Use only the RBOL provided by Best Value Transmission.
  • Make sure the RBOL matches the core being shipped.
  • Attach or provide the RBOL at the time of pickup.
  • Do not change the return address or carrier instructions unless we approve it.

Step 4: Schedule The Carrier Pickup

Once you receive the RBOL, use the carrier contact information on the document to schedule pickup. The core should already be packaged and ready when the carrier arrives. To avoid missing the refund deadline, schedule pickup as soon as possible.

Step 5: Core Is Inspected And Refund Is Processed

After the core is received, it will be inspected. If the core was returned within 30 days of delivery and approved after inspection, the eligible core deposit refund is issued back to the original payment method when possible. Processing time may vary depending on carrier transit time, receiving time, inspection, and payment processing.

Core Return Timeline

Return Timing Core Refund Impact
Returned within 30 days of delivery Eligible for core refund if the core passes inspection and all return requirements are met.
Returned after 30 days of delivery No core deposit refund will be provided.
Returned without required paperwork or approval May be delayed, rejected, or subject to additional freight or handling charges. No refund is guaranteed.

To protect your refund eligibility, request your RBOL as soon as the replacement transmission is installed and the old core is ready for pickup. The core must be returned within 30 days of delivery.

What Must Be Returned With The Core?

To receive the best possible core credit, return the old transmission core complete and assembled.

  • The old transmission core
  • Torque converter
  • Protective shipping brackets
  • Shipping straps inside the tote or container
  • Original shipping tote, crate, or container when applicable
  • Any required return paperwork provided by Best Value Transmission

The returned core should be the same type and application as the transmission purchased. A non-matching or incorrect core may reduce or eliminate the refund.

Core Credit Inspection Criteria

Core refunds are subject to inspection. Damage, missing parts, late return, incorrect core, missing torque converter, or missing tote/container components may reduce or eliminate the refund.

Core returned after 30 days of delivery No core deposit refund will be provided.
Core returned disassembled May be subject to a 20% reduction, plus additional charges for missing parts.

Inspection results may be documented with notes, photos, or other records. Any refund reduction is based on the condition of the returned core and the requirements listed on this page. Cores returned after 30 days of delivery are not eligible for a core deposit refund.

Packaging Requirements

Proper packaging helps prevent freight damage, refund delays, and additional charges.

  • Drain all excess fluid before pickup.
  • Make sure the tote, crate, or container is not leaking.
  • Secure the core using the straps or securing method provided inside the tote or container.
  • Return the core in the same tote, crate, or shipping container when applicable.
  • Do not leave loose parts unsecured inside the container.
  • Attach or provide the RBOL to the driver at pickup.

Transmission cores are heavy. Do not attempt to lift or move a transmission core without proper equipment or enough help. If your pickup location does not have a loading dock or forklift, a liftgate may be required and additional carrier charges may apply.

Freight, Pickup & Liftgate Charges

Best Value Transmission will help provide the required return instructions and RBOL when the core is ready for pickup. Freight costs, pickup availability, and liftgate requirements can vary by order, location, carrier, and shipping setup.

  • Contact us before shipping the core back.
  • Let us know whether the pickup location has a loading dock or forklift.
  • Tell us whether a liftgate truck is required.
  • Additional liftgate, missed pickup, storage, reclassification, incorrect paperwork, or carrier accessorial charges may be deducted from the core refund or charged separately.
  • Customer may be responsible for freight charges on certain returns, missed pickups, incorrect shipments, new product returns, or returns not using the approved process.
